AP Specialist

About the role: The Accounts Payable Specialist would be responsible for allocation of payments made by the company.  The role would also be responsible for all reimbursements to employees and the maintenance of cost reports and budgets.

Primary Responsibilities

  • Obtains proper approval and enters approved invoices
  • Matches invoices to proper supporting documents, specifically purchases orders, and reject invoices that do not match the purchase order
  • Answers vendor inquiries
  • Process check runs bi-monthly to be approved by the controller.
  • Complete and send out 1099’s annually through QuickBooks.
  • Review and import employee reimbursements from Expensify to QuickBooks to be paid out weekly
  • Answer all vendor inquiries.
  • Review and reconcile vendor statements.
  • Update Costs reports through Structure and import over to company files.
  • Complete and pay quarterly sales tax.
  • Reconciliation of class allocation and reclassing costs upon instruction. Contact vendors and confirm Certificate of Insurance are current. Pay other transactions as needed, including online payments
  • Other duties as assigned

Junior Builder

Simonini Homes is searching for a Junior Builder.

Major Objectives and Outcomes Expected

Alan Simonini Homes is a prominent home building company. Its mission is to build and deliver Luxury Custom homes of excellent quality and exceptional value. Providing its clients with a positive and rewarding home building experience.  The assistant builder is to assist the builder in the direct day-to-day construction activities of the company for assigned projects and areas/communities. The assistant builder is responsible to assist the builder in delivering a finished home to the customer that meets the company’s established quality standards, building schedule, and constructions budget. 

 

Reports to

The position holder reports to the Director of Custom Homes
Other key managers/employees interacting with the jobholder include: the Builder, Team Leader(s), all team members (Sales, Design, Accounting, and Construction), and fellow members of the Construction Department.

 

Essential Work Activities (not in order)

  • Meets with the builder, as required prior to contract to review site conditions overall project parameters
  • Assists the builder in running construction schedules to ensure efficient workflow and timely completion utilizing systems implemented by Alan Simonini Homes
  • Assists the builder in Inspecting homes under construction daily, as applicable, to review progress, train trade-partners, and to ensure that quality standards, scope of work, and Phase-Specs are met.
  • Assist the builder to help prevent construction defects and water intrusion in homes.
  • Assists the builder in obtaining revised or updated quotes for any phase of work and helps seek out the best supplier/installer, with consideration for quality, professionalism, and budget in coordination with the estimator.
  • Assists the builder in preparing change orders (additional work authorizations AWAs) as needed.
  • Assists builder in keeping up to date on phases of construction and progress on job site, in the event the builder can not be on site on any given day.
  • Helps builder resolve problems or issues that could cause delays
  • Insures a high level of customer satisfaction
  • Assists builder in placing orders or scheduling work, as required.
  • Assists in managing and carrying out service requests and warranty lists.
  • Ensures model homes and completed specs are clean and maintained at all times. 
  • Coordinates with builder and sales staff to assure any model punch lists are carried out.
  • Assists the builder in holding trades and suppliers responsible and accountable for their scope of work on the job site, including cleanliness.
  • Assists builder by continually looking for and identifying any potential quality issues on the job site.
  • Always maintains a professional appearance
  • Always maintains a clean and safe job site.
  • Assists builder in maintaining safety records, as necessary. Safety will be always practiced. The builder is a safety representative and will be held responsible for safety in the community and at Alan Simonini Homes, LLC.
  • Understands no home will close with an open item or list. All homes will be quality inspected 14 days before closing by an Alan Simonini Homes manager. All homes will be 100% complete prior to closing.

Required Skills, Traits and Attitudes

The assistant builder must be able to assist the builder on the job site when he/she is not available to be on site.  He or she must be prepared to use their tools to assist in work activities, as required on the job site, paying utmost attention to detail, quality and safety.  The assistant builder should be able to work in a fast-paced, entrepreneurial driven, hands-on environment. He or she must have the capability to communicate and relate to individuals on all levels, from construction trade personnel to company customers and its lead officers. The assistant builder must help the builder by using his or her communication skills in matters of influence-building, rapport development, negotiation, instruction, direction, training and performance management. The ability to work in a team environment while handling multiple priorities to attain deadlines is essential.

· Track all hours and organize daily and weekly time sheets as directed by supervisor

Estimator - Renovations

Major Objectives/Outcomes:

Alan Simonini Homes is a prominent home building company. Its mission is to build and deliver homes and renovations of excellent quality and exceptional value while providing clients with a positive and rewarding home building experience.  The renovation estimator is responsible for helping sales bring potential prospects to contract as well as provide the superintendent proper information with which to complete the project within budget. The estimator also helps to maintain the integrity of the projects gross margin by cost coding of invoices and updating job cost reports on a routine basis.   

Report to: The position holder reports to the Renovation Lead Estimator and Renovation President.   
Other key managers/employees interacting with the jobholder include: Team Leader(s), all team members (Sales, Design, Accounting, Construction and Management). 

General Duties: Create, maintain and update the following for renovation projects: specifications, estimates, additional work authorizations, trade partner and bid lists, cost reports (monthly). Customer statements, allowance recaps and invoices (monthly), maintain and update the following databases and templates for renovations projects: trade partner database (existing and new trades/suppliers), schedule templates, estimating database, including unit costs. Specification templates, SharePoint database, research prices and trades for competitors, code invoices for jobs estimated - working with accounting and construction to assure accuracy, close out job with the builder. 

Client Proposals: Participate in pre-estimating client meetings with sales to gather information on specifications and options. Create budget estimates and detailed estimates. Create and send out bid packages to trade partners to obtain multiple bids for client proposals and estimates. Assimilate information into estimate and proposal package. Review estimate with supervisor and superintendent for accuracy. Present proposals and options with sales and/or design as needed. Obtain and carry out permitting / zoning process with each city/county jurisdiction, as necessary.  

Additional Responsibilities: Works closely with internal team members (sales, construction, design, accounting, and management, as needed). Work with government office officials (permitting), architects, developers, designers, clients, and trade partners / suppliers, as needed. Attend weekly team meetings / builder meetings. Always look for ways to help make the estimating department more efficient. Help with process improvements.

Required Skills: Good listening, communication, and organizational skills. Working knowledge of Microsoft Word, Excel, Outlook, Publisher and Access. Patient individual with the ability to stay focused for extended periods of time. Self-motivated, detail oriented, problem solver, that teams and works well with others. 

Education: Prior residential estimating experience preferred.
